How to request deletion of your SurgiCalendar account

SurgiCalendar is a surgical scheduling platform operated by SurgiCalendar, Inc.. Users with an account in the SurgiCalendar mobile or web application can request deletion of their account and associated personal data at any time.

To submit a deletion request, choose one of the following:

By email: Send a request to support@surgicalendar.com from the email address associated with your SurgiCalendar account. Include the subject line “Account Deletion Request” and the email address on the account you want deleted. We will confirm receipt within 5 business days and complete processing within 30 days.

In-app: Open SurgiCalendar → Settings → Account → Request Account Deletion. (Note: this flow is in development and will be available in a future release.)

What is deleted
Within 30 days of verifying your request, the following data is permanently removed from SurgiCalendar’s active systems:

  • Your user profile (name, email address, phone number, professional credentials, profile photo)
  • Your authentication credentials and biometric login bindings
  • Your personal preferences and application settings
  • Direct messages and comments you authored that are not part of a clinical record
  • Saved calendar integrations (Google, Outlook, Apple) and EHR credentials you configured

What is retained and why
Certain records cannot be deleted because they form part of the clinical, financial, or audit history of the practice or facility you worked with. Specifically:

  • Clinical case records you created or contributed to remain the property of the provider organization or facility that owns the case. These are retained per HIPAA and applicable state medical record retention laws — typically six (6) years from the date of the case, longer in some states.
  • Audit logs showing system access, authentication events, and PHI access events are retained for six (6) years from the date of the event, per HIPAA §164.316(b)(2)(i).
  • Financial records related to billing or vendor transactions are retained per applicable tax and accounting record-keeping requirements (typically seven years).
  • Anonymized usage analytics that cannot be traced back to an identifiable individual may be retained indefinitely.

After retention periods expire, the remaining data is purged from SurgiCalendar’s systems on a scheduled basis.
